Site fee includes use of:
Longwood Plantation Polo Field and Avenue of Oaks**
2006-2007 Rates: $6000
For both properties, cost includes use of the ground for a four hour event, ending by 11pm. Rates are based on events with fewer than 300 people. There will be an added fee for larger events, based upon number of guests.
* Site rental does not include Pompion Hill Chapel. If you wish to use the chapel, please contact the Pompion Hill Chapel Vestry.
** Site rental does not include home and out-buildings at Longwood Plantation.
Deposit:
The 20% deposit is non-refundable for any reason including natural disasters, acts of God or international terrorist attacks. The deposit will secure your date and is due upon your returning the signed contract. The deposit will be applied first to any excessive cleanup or damage to the property. The balance will be applied toward the site fee and returned.
The total rental fee is due at the final meeting, two weeks prior to the event.
Event Coordinator:
To ensure proper use and care of Longwood properties, we require the client hire a qualified event coordinator to be responsible during the event. This person will be responsible for maintaining the client's agenda for both the ceremony and the reception. This person will also serve in the capacity of decision maker on behalf of the client in dealing with caterers, bar services, florists, entertainment, rentals, etc.and will collaborate with Longwood Plantation staff during the event.
At the final meeting, two weeks prior to the event, the client and the event coordinator must meet with Longwood Plantation staff to review the agenda and details as well as establish a schedule for set-up and deliveries.
Upon checkout, the event coordinator is responsible for a walk-through of the property with Longwood Plantation staff. The two will assess any possible damages or excessive cleanup that might have occurred during the event.
In the event that a coordinator is not hired, Longwood Plantation will provide one, at an additional fee to the client of $500 for the wedding rehearsal and wedding day. This person will be a professional coordinator, hired by the Longwood Plantation staff, to serve the event.
Vendors:
It is required that all caterers and bar services provide the appropriate insurance documentation at the final meeting two weeks from the event.
All vendors and service contractors are responsible for cleanup and removal of their equipment, food, bar supplies, and garbage within two hours of the event's conclusion.
Beverage Service:
Alcohol consumption is allowed at Longwood Plantation. The SC Alcohol Beverage and Control Board requires that all alcohol be supplied by a professional bar service with the necessary license and liability insurance. Upon signing this agreement, the client agrees to indemnify and hold harmless from any damages, costs or expenses, including reasonable attorney fees, which may arise as a result of consumption of alcoholic beverages by the client and any of the client(s)' guests of Longwood Plantation Events and Weddings, Longwood Farms and employees and owners of each organization.
Equipment:
Longwood Plantation is an outdoor site, which requires that you contract services of portable restroom facilities. A copy of the contract must be submitted at the final meeting, two weeks before your event.
Votives and candles in hurricane lamps and lanterns are permitted on tables and on stakes constructed of fireproof materials. Candles and/or lanterns are not permitted to hang from the trees. Open fires, and all types of fireworks are prohibited. Open flame candles of any type are not permitted. Candles must be enclosed in glass-shaded holders with heat protecting bases.
Parking and Transportation:
Guests will park in the main visitor parking area. A list of wedding party members and vendors must be provided to the Longwood Plantation staff at the meeting two weeks prior to the event.
Ceremony Rehearsal:
When the facility is not in use, the client is welcome to hold their ceremony rehearsal practice onsite prior to the wedding. Longwood Plantation staff will need a list of wedding party members attending the practice at the final meeting, two weeks prior to the event. A rehearsal dinner, however, is considered a separate event and will require a separate contract and fees.
Time Overage:
Cost includes use of the grounds for a four hour event, ending by 11pm. If additional time is needed or used, an additional fee of $250 per hour will apply.
Inclement Weather:
Since Longwood Plantation is an outdoor venue, the staff strongly recommends that clients reserve a tent should there be inclement weather. There will be no refunds or alternate dates for inclement weather.
Additional Information:
Do not nail or staple into the trees.
Use receptacles provided for cigarette disposal. An additional $200 labor fee will be charged to the client for clean-up of cigarette debris on the property.
Caterers are required to remove all garbage and debris immediately following the event and may not use onsite disposal bins. Failure to remove any and all garbage will result in a labor fee of $250.
Please remember that Pompion Hill Chapel is listed on the National Historic Registry, and we request that your guests respect the value of this historic treasure by refraining from entering its property. It is NOT part of the property under contract. Event coordinators are required to hire on site security and supervision during the hours of the event and following cleanup.
